Information we collect
If you use the contact form, we collect your name, email address, optional organisation, selected area of interest and message. If you contact us directly, we receive the information contained in your email and any later correspondence.
Our hosting provider may create ordinary technical logs containing information such as an IP address, browser or device details, requested pages, timestamps and error information. Codance does not use these logs for advertising or behavioural profiling.
Why we use it
We use enquiry information to answer you, understand the proposed relationship, take requested steps before entering into a contract, manage an active professional or contractual relationship, protect the security and integrity of our services, and meet legal obligations.
Depending on the circumstances, our lawful basis is our legitimate interest in responding to relevant professional enquiries and developing Codance's business, taking steps at your request before a contract or performing a contract, or compliance with a legal obligation.
Who receives it?
Enquiries are handled by Codance and are not sold or shared for third-party marketing. IONOS provides website hosting and related infrastructure. We may also disclose information to professional advisers, technical service providers or public authorities where reasonably necessary and subject to appropriate duties or safeguards.
International processing
Where a service provider processes personal data outside the United Kingdom, we require it to use a transfer mechanism and safeguards recognised by applicable data-protection law.
How long we keep it
Enquiry correspondence is normally retained for up to 24 months after the last substantive contact. We may retain it longer where an active relationship, contractual requirement, dispute or legal obligation makes that necessary. We remove or anonymise information when it is no longer reasonably required.

Cookies and analytics
The Codance site code does not set advertising or non-essential analytics cookies, embed third-party video, or perform behavioural profiling. If this changes, we will update this notice and introduce consent controls where they are required.
Contact-form operation and security
The form sends your message to the Codance enquiry mailbox. It does not create an account, subscribe you to marketing, send an automatic reply or accept attachments. The form handler does not intentionally retain a separate copy, although the message will remain in email systems and ordinary server logs may record the request.
We use reasonable technical and organisational safeguards, but no website or email transmission is completely secure. Please do not submit passwords, special-category personal data or unnecessary commercially sensitive information through the initial contact route.
