Codance Ltd is the controller responsible for the personal information described on this page. Privacy or accessibility enquiries may be emailed to enquiry@codance.co.uk or sent by post to the registered office, marked for the attention of Data Protection or Website Accessibility as appropriate.
Information Codance may receive
Depending on how you contact or engage Codance, we may receive:
- your name, role, organisation and business contact details;
- the information you include in an enquiry or subsequent correspondence;
- service, scope, proposal, order and delivery records;
- meeting notes, decisions and communications concerning an enquiry or engagement;
- evidence you are authorised to provide for an agreed consultancy engagement; and
- limited technical and security information produced when the website is requested, such as an IP address, date and time, requested page, browser or device information and response status.
Please do not send passwords, access credentials, unnecessary personal information, special-category information or confidential operational evidence through the initial enquiry route. Codance will agree a suitable method before substantive evidence is supplied.
Why Codance uses personal information
Codance uses relevant personal information to:
- respond to and qualify business enquiries;
- take requested steps before an engagement is agreed;
- prepare, administer and deliver consultancy engagements;
- maintain accurate commercial, delivery and communication records;
- protect the website, communications and business systems; and
- meet legal, accounting and dispute-resolution obligations.
The applicable lawful basis will usually be Codance's legitimate interests in responding to business enquiries and operating a controlled consultancy, steps requested before entering a contract, performance of a contract, or a legal obligation. Codance does not use website enquiries for solely automated decisions that produce legal or similarly significant effects.
Codance does not sell personal information and does not use initial enquiries for unrelated marketing. If an optional marketing process is introduced later, it will have its own clear choice and record.
Service providers and disclosure
The website and associated communications use providers that support Codance's business operations. At launch, the public website and its technical logs are hosted by 1&1 IONOS Limited (IONOS). An enquiry submitted through the website is transmitted over HTTPS and delivered to Codance's business email; the website is not designed to create a separate public enquiry database.
Relevant information may also be handled by controlled providers used for business email, documents, accounting or engagement administration. They receive only the information needed for their role and are subject to appropriate contractual or legal protections.
Codance may disclose information to professional advisers, insurers, regulators, courts or public authorities where this is necessary and lawful. Information is not otherwise shared with third parties for their own advertising.
Some technology providers may process information outside the UK. Where a restricted international transfer applies, Codance relies on an applicable adequacy decision, approved contractual safeguards or another lawful mechanism.
How long information is kept
Codance keeps personal information only for as long as it is reasonably needed for its purpose:
- an enquiry that does not become an engagement is normally reviewed for deletion 12 months after the last substantive contact;
- contractual, commercial, accounting and core engagement records are normally kept for six years after the relevant engagement or relationship ends;
- detailed client evidence is retained only for the agreed engagement and closeout period, unless a longer period is required by law, a dispute, security needs or written agreement; and
- downloaded or separately retained technical logs are normally deleted within 30 days, unless an event requires investigation or preservation.
Provider-controlled operational records may follow the provider's documented retention arrangements. A retention review may result in deletion, anonymisation, restriction or continued retention for a recorded reason.
Your information rights
Depending on the circumstances, you may have rights to ask Codance to:
- provide access to your personal information;
- correct information that is inaccurate or incomplete;
- delete or restrict the use of information;
- consider an objection to processing based on legitimate interests;
- provide certain information in a portable form; or
- honour withdrawal of consent where consent is the basis used.
These rights are not absolute and their application depends on the purpose and legal position. Codance may need to verify identity proportionately before responding.

Website information and consultancy engagements
The website provides general information about Codance, its services, method and representative examples. It is not legal, regulatory, financial, cybersecurity, safety, engineering or other professional advice for a particular situation.
A consultancy engagement begins only when Codance and the client have agreed the scope, commercial terms, authority, required information and applicable service conditions in writing.
AI suitability, readiness, feasibility and value depend on the real workflow, information, systems, people and constraints. Website descriptions and examples do not guarantee that AI will be suitable or that a change will produce a particular saving, revenue, efficiency, compliance or other result.
Westmoor Precision Engineering Ltd and other examples clearly described as representative or fictional are not commissioned client work. They demonstrate the Codance method and possible deliverable structure; they do not predict another organisation's finding.
Acceptable use and intellectual property
You must not misuse the website, attempt unauthorised access, introduce malicious code, interfere with its operation, impersonate another person or submit information you are not authorised to provide.
Unless stated otherwise, Codance owns or is licensed to use the website content, documents, diagrams, branding and methods presented here. You may view, download and print reasonable copies for your internal evaluation of Codance services. You may not republish, sell or use substantial parts commercially without written permission, except where the law permits.
Third-party links are provided for context or convenience. Codance does not control their availability, content, privacy or security practices.
Codance takes reasonable care when preparing the website but does not promise that every page will always be complete, current or continuously available. Nothing on this page excludes or limits liability where doing so would be unlawful. Contracted services are governed by their agreed terms, not solely by this website.
Accessibility
Codance aims to make this website usable with clear structure, keyboard navigation, visible focus, sufficient contrast, text alternatives, labelled forms and responsive layouts. The site has been reviewed against relevant WCAG 2.2 Level AA considerations, but Codance does not claim that every page or downloadable document is free from all accessibility limitations.
